Staff Admin & Office Support
You'll be the go-to person for administrative and operational support for the team:
- Submit travel and expense claims for staff while ensuring compliance with the bank's travel policy.
- Handle system access management (new, changes, deletions), and premises-related tasks.
- Manage meeting room bookings, video conferencing arrangements, and provide logistics support.
- Act as the Technical Validator for PDAP (likely internal system) related to operations.
- Coordinate logistics for office needs and team activities (e.g., training, meetings, bonding sessions).
IT & Asset Management
- Raise requests for IT hardware/software and office equipment repairs or purchases.
- Maintain inventory of fixed assets, stationery, and office supplies.
- Support warehousing tasks like item retrievals or deliveries when needed.
Statistics, Reporting & Org Chart Maintenance
- Update and extract data on staff leave, budgeted headcount, and transaction volumes for resource planning.
- Track and maintain the organization chart and staff movement updates.
Maintenance of Staff and Operational Records
- Maintain staff profiles, including Business Continuity Planning (BCP) contact info.
- Update and manage lists of authorized signatories, delegation of authorities, Power of Attorney (POA) documents.
- Maintain and update RM/MA specimen signatures.
- Plan and maintain duty rosters for Singapore public holidays.
Review & Reconciliation Duties
- Conduct semi-annual access rights reviews in systems like MyIAM for Singapore and offshore staff.
- Check and verify invoices (e.g., from ISPL, PIMH, Geneva) before submission for payment.
- Handle outsourcing cost reviews and get approvals from Client Management (CM).
Townhall, Security & BCP
- Organize townhall events (slide prep, invites, coordination).
- Perform random security checks and report breaches.
- Maintain and update BCP-related info, including split team assignments and floor maps.
Ad-Hoc & Transversal Projects
- Participate in operational projects, data extractions, and support internal/external audits.
- Serve as a coordinator for transversal (cross-departmental) projects.
Requirements
- Few year's experience in administrative role, hopefully in a banking environment.
- In addition, this person must be well-versed in handling Microsoft Excel and Powerpoint presentation.
- Must Know Pivot Table and V Lookup
- He/she is able to liaise with different stakeholders to organize meetings and activities; and comfortable to collate statistics and data
