Job Description:
- Type, file, and dispatch all necessary correspondences as directed by the Condo Manager.
- Answer all inquiries, requests, and complaints received via telephone, and maintain accurate records of such communications.
- Manage bookings for estate facilities (e.g., BBQ pits, function rooms, karaoke rooms).
- Establish and maintain an organized filing system to ensure proper documentation and effective administration of the Management Corporation (MCST).
- Assist the Condo Manager with petty cash management and reconciliation.
- Maintain accurate records of payments made by residents.
- Monitor and manage inventory of office stationery and supplies.
- Oversee maintenance arrangements for office equipment to ensure smooth daily operations.
- Coordinate meetings as instructed by the Condo Manager and prepare all necessary documents and materials for such meetings (e.g., notices, agendas, minutes).
- Perform any other administrative duties assigned by the Condo Manager.
Job Requirement:
- Minimum 5 years of MCST experience in managing residential or commercial developments.
- Basic accounting knowledge is required (e.g., handling petty cash, payment records).
- Strong customer service orientation with a proactive and helpful attitude.
- Excellent public relations and communication skills to interact effectively with residents and stakeholders.
- Organized, detail-oriented, and able to manage multiple administrative tasks independently.
- Proficient in Microsoft Office applications (e.g., Word, Excel) and basic office software.
