Job Summary
The Admin cum QA Assistant provides administrative and quality assurance support to ensure the smooth running of daily operations and compliance with the institute's quality standards.
This role supports documentation, audit preparations, and quality control processes in alignment with EduTrust requirements, while assisting in general administrative and operational matters.
Key Responsibilities
Administrative Support
- Provide day-to-day administrative and operational support to all departments.
- Manage filing systems, documentation, and correspondence accurately and efficiently.
- Assist in scheduling meetings, preparing minutes, and tracking follow-up actions.
- Support procurement activities, vendor coordination, and office maintenance.
- Assist HR and operations functions, including attendance tracking, leave administration, and onboarding matters.
- Support the organization of internal and external events, staff training sessions, and workshops.
Quality Assurance & Compliance
- Assist in maintaining and updating QA policies, Standard Operating Procedures (SOPs), and process documentation.
- Support compliance efforts with relevant accreditation and regulatory frameworks (e.g. CPE, EduTrust, ISO 9001).
- Maintain QA records, audit documentation, and corrective/preventive action reports.
- Assist in internal and external audit preparations by ensuring documentation and records are accurate and complete.
- Conduct basic checks to ensure compliance with internal QA processes.
- Help compile QA-related reports and statistics for management review.
- Participate in continuous improvement initiatives to enhance service quality and operational efficiency.
Requirements
- Diploma or equivalent qualification in Business Administration, Quality Management, or a related field.
- At least 1–2 years of relevant working experience in administration or quality assurance, preferably within the education or training sector.
- Familiarity with accreditation and regulatory frameworks such as EduTrust, Bizsafe, or equivalent is advantageous.
- Good organizational and coordination skills with strong attention to detail.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Responsible, proactive, and able to maintain confidentiality.
- Able to commence work immediately or within short notice.
