Responsibilities:
- Oversee daily office administration and records management
- Coordinate service schedules and manage contract renewals
- Arrange travel bookings, visas, insurance, and accommodation
- Maintain office housekeeping and manage supply orders
- Control document storage and disposal with external vendors
- Manage first-aid inventory including AED and provide assistance when needed
- Handle incoming calls and attend to visitors and guests
- Manage incoming letters and courier services
- Coordinate dispatch and courier schedules
- Support initiatives to improve company efficiency and effectiveness
- Administer departmental operations including records and order processing
- Prepare reports, issue purchase orders, and manage invoice approvals
- Organize and file departmental documents
- Assist in company functions and events
- Draft internal articles on company news and activities
- Maintain vendor and supplier relationships
- Liaise with building management and HQ on IT and administrative matters
Requirements:
- Minimum 1 year of experience in office or administrative roles
- Proficient in Microsoft Word, Excel, and email communication
- Comfortable handling phone calls and multitasking administrative duties
