Responsibilities:
- Provide secretarial and administrative support to directors and internal staff
- Oversee housekeeping and maintenance of office facilities including reception, meeting rooms, pantry, and stationery supplies
- Manage reception duties including greeting guests and handling inquiries
- Handle telephone and email communications professionally
- Maintain and update mailing lists, internal directories, and administrative databases
- Organize and maintain filing systems for company documents
- Assist with expatriate accommodation and office rental arrangements
- Administer travel insurance processes including claims and renewals
- Coordinate management calendars and appointments with vendors and contractors
- Arrange flight, hotel, and dining bookings for business travel
- Support visa applications for overseas business trips
- Prepare company gifts and support company events and research activities
- Ensure a comfortable office environment and serve refreshments to guests
- Handle confidential information with discretion
- Process CEO's personal chauffeur overtime claims
Requirements:
- Minimum 3 years of experience in administrative roles
- Prior experience in supporting secretarial functions such as arranging flights, hotel, and dining bookings for business travels
- Proficient in Microsoft Office and Outlook
- Excellent time management and organizational skills
