About Us
We are seeking an
experienced Administrative Assistant
with prior experience in an
employment/recruitment agency
to join our dynamic team and support our day-to-day operations.
Key Responsibilities
Provide administrative support to recruiters and management, ensuring smooth daily operations.
Handle incoming calls, emails, and candidate/client inquiries in a professional and timely manner.
Maintain and update candidate databases, job postings, and applicant tracking systems (ATS).
Assist with candidate onboarding, including collecting documentation, preparing contracts, and compliance checks.
Schedule interviews, client meetings, and assessments.
Prepare reports, correspondence, and other documents as needed.
Ensure compliance with data protection and agency regulations.
Support billing, invoicing, and timesheet management for temporary staff.
Perform general office administration duties, including filing, scanning, and maintaining records.
Requirements
Proven experience as an
Administrative Assistant
in an
employment/recruitment agency
(essential).
Strong knowledge of recruitment processes, employment contracts, and onboarding procedures.
Proficiency in MS Office (Word, Excel, Outlook) and familiarity with ATS/CRM systems.
Excellent organizational skills with strong attention to detail.
Strong verbal and written communication skills.
Ability to multitask and work under tight deadlines.
High level of professionalism, confidentiality, and customer service.
Preferred Skills
Experience with compliance checks (right-to-work, reference checks, etc.).
Familiarity with payroll support and invoicing.
Knowledge of employment laws and agency regulations.
