Job Description
Administrative Executive
- Acting as a first point of contact, dealing with correspondence and phone calls politely and professionally.
- Maintaining contact database, scheduling appointments, maintaining events calendar, and sending reminders.
- Handle travel arrangements (air ticket booking/ visa application/ accommodation reservation/arranging schedule) and manage all expense claims.
- Office administrative support, manage office stationery and pantry supplies, coordination between department, arrange courier and dispatch etc.
- Provide project administrative support on daily operations to project and marketing team including data entry, maintain proper records of documentation, follow up on supplier invoices, prepare payment request, sourcing supplier fee quote, etc.
- Arrange hampers and gifts to business associates on occasional.
- Other ad hoc duties as assigned.
Job requirements:
- Effectively bilingual in English and Mandarin.
- Proficiency in Microsoft Office.
- Disciplined understanding of confidentiality and integrity.
- Service-oriented mind-set, pronounced can-do attitude, complemented by the capability to multi-task and the flexibility to handle changing requirements in a fast-paced, dynamic environment.
- Proven ability to drive assignments autonomously and interact self-confidently with senior management, demonstrating resilience.
- Candidates with secretarial/operational/administrative experience have a higher advantage.
