We are seeking a highly organized and detail-oriented Administrative Executive to provide administrative support to the Head of Department (HOD), Clinical Director, Anaesthetists, and Department Operations Managers.
Key Responsibilities
Major Duties (80%)
• Maintain and update clinicians' leave records in the internal system.
• Manage the department's leave calendar and upload it to the shared platform.
• File and track MOPEX leave applications.
• Maintain and circulate the department contact list monthly.
• Design and submit internal forms for committee approval; liaise with vendors on artwork when needed.
• Handle procurement for the department and operating theatres.
• Process e-payments and claims for clinicians.
• Submit monthly training hours for BSTs/ASTs to Medical Affairs.
• Assist in collecting MOPEX assessments and facilitate the ranking process.
• Maintain the department's IT asset inventory list.
• Manage pantry supplies, including stock-taking, quotation requests, and placing orders.
• Coordinate catering arrangements for departmental functions.
• Provide secretariat support for monthly Senior Staff Meetings and bi-monthly Core Group Meetings, including preparation of presentation slides.
General Duties (20%)
• Support dispatch duties and provide leave coverage for team members.
• Perform any other duties as assigned by the Reporting Officer.
Requirements
• Diploma in Business Administration, Healthcare Management, or related field
• At least 1–2 years of relevant administrative experience preferred
• Proficient in Microsoft Office (Word, Excel, PowerPoint)
• Strong organizational skills and attention to detail
• Ability to manage multiple tasks and meet deadlines
• Good interpersonal and communication skills
