Job Title: Administrative Support Specialist
About the Role: The successful candidate will play a key role in supporting the firm's administrative and accounts functions, ensuring smooth operations and accurate financial management.
Main Responsibilities:
- Process data entry of lawyers' timesheets on the firm's practice management software.
- Prepare monthly invoices based on timesheets and monitor client payments.
- Assist in tracking lawyers' productive hours to support reporting and operational efficiency.
- Close and archive client files and matters that have been concluded.
- Support the collective management of enquiries received by the firm, including assignment and monitoring of tasks.
- Oversee administrative support functions, including file opening, procurement, and liaison with external IT providers.
- Coordinate with external vendors to ensure seamless operations across the firm.
Necessary Qualifications and Skills:
- Diploma or degree in Accounting, Business Administration, or relevant experience.
- Strong attention to detail and organisational skills.
- Proficiency with office software; experience with legal practice management software is advantageous.
- Ability to work independently as well as collaboratively within a small, dynamic team.
- Professional, proactive, and reliable with strong communication skills
