Job Summary
The Administrator ensures efficient sales administration in accordance with company processes and policies.
They oversee contract production, financing applications, payment collection, sales reporting, and purchaser file maintenance to ensure compliance and quality.
Collaboration with Marketing & Sales, Quality Assurance, and Closing teams is essential to deliver excellent customer service.
Core Work Activities
Contract Creation:
- Ensure all required documents are received and signed before contract creation.
- Verify completeness and accuracy of Contract documents.
- Follow procedures for identity verification and compliance checks.
- Produce accurate contract documents promptly and communicate any issues to Sales Management.
- Maintain and update contract information as per SOP.
Post Contract Creation:
- Obtain all necessary approval signatures before submitting contracts for closing.
- Prepare Reports and related documents for contract conversion.
- Scan reports and other documents to Documentum.
- Prepare contracts for closing and collaborate with Sales and Closing teams.
- Prepare report and review with Sales/Finance teams bi-monthly.
- Manage various payment methods and verify payment status with Finance team.
- Ensure accuracy of payment details and update payment records daily.
- Update systems and reports once payments are successfully charged.
- Send payment confirmation emails to purchasers after successful transactions.
Contract Cancellation:
- Prepare Cancellation Form for cancelled contracts and attach necessary email correspondence.
- Obtain approval signatures for cancellations before initiating refund process.
- Update refund transactions and contract status in the system and relevant reports.
- Scan all cancelled contracts to Documentum.
- Inform Sales and Finance team about cancelled contracts.
Other Duties:
- Provide other Sales Admin duties as required.
- Prepare and provide reports to the relevant Managers and Teams.
Candidate Profile:
- Minimum Diploma or higher education.
- Experience in Administration/Operations/Customer Service required.
- Ability to work flexible hours including weekends and nights.
- Experience in fast-paced business environments preferred.
Operational Hours:
- Wednesday to Friday: 4:00pm to 12:00am
- Saturday & Sunday: 12:00pm to 8:00pm
