Our client, a leading international education group and holding company of premium institutions, is seeking an Alumni and Parent Relationship Executive where you will play a key role in building and maintaining strong connections with parents and alumni.
The role involves planning and executing engagement programmes, managing communications, supporting events, and maintaining accurate records.
The position also requires handling inquiries and complaints professionally, managing the front desk, supporting positive word of mouth, and contributing to the school's marketing and community strategy.
Main Responsibilities:
Alumni and Parent Engagement
- Plan and deliver alumni and parent engagement programmes, including events, newsletters, and outreach activities.
- Act as the primary contact point for alumni and parents, ensuring clear, accurate, and timely communication.
- Identify parents and alumni who can support the school in enrolments, retention and positive advocacy of the school.
- Maintain a central contact depository, ensuring details are accurately recorded and regularly updated.
- Maintain records of positive parent and family experiences to encourage testimonials and word-of-mouth promotion.
- Develop initiatives to drive referrals and positive advocacy within the school community.
- Lead and manage a team of parent ambassadors to strengthen community ties and outreach
Communications and Digital Updates
- Prepare and distribute newsletters and announcements.
- Provide editorial support for student and parent magazines and contribute to new initiatives targeting the parent community.
- Manage updates to the school's web portal, ensuring accuracy and relevance.
- Support social media activity in collaboration with the Marketing team.
- Participate in and manage engagement across parent and expatriate social media groups to broaden the school's reach.
- Support the development and use of Classlist to strengthen parent-to-parent and school-to-parent communication.
Events and Collaboration
- Coordinate admissions-focused and community outreach events, ensuring invitations, logistics, and materials are well-prepared.
- Build positive relations with parents and support focused events under the direction of the Director of Events and Parent Relations.
- Liaise with internal teams (Marketing, Admissions, Communications) to deliver activities aligned with the school's strategy.
- Arrange and coordinate photography and videography coverage for key events, including securing permissions where required.
Records and Reporting
- Maintain and update alumni and parent records.
- Track RSVPs and monitor event attendance.
- Prepare monthly reports on engagement initiatives.
- Customer Service and Complaint Management
- Respond to inquiries from parents and alumni promptly and professionally.
- Manage and resolve complaints in line with school policies, escalating issues where necessary.

- Support front desk operations on a rotational basis to ensure seamless handling of walk-ins and enquiries.
General Support
- Assist with the production of promotional materials in line with brand guidelines.
- Provide support for partnerships, enrolment, and community outreach activities.
- Arrange permissions and coordinate photography and videography coverage for key events.
Requirements
- Degree in any discipline, with relevant experience in marketing, communications, or community engagement.
- 2 to 4 years of relevant experience in alumni/parent engagement, marketing, communications, or customer service, ideally within an education or service-oriented sector.
- Hands-on experience with newsletters, web portals, and social media platforms.
- Strong organisational skills and ability to manage multiple tasks.
- Attention to detail and ability to meet deadlines.
- Excellent communication and interpersonal skills, with proven ability to build relationships.
- Strong proficiency in English and Mandarin (spoken and written) is required to engage parents and guardians who primarily use these languages.
- Experience in event coordination and complaint management is preferred.
