The Facilities Management position is responsible for the overall operation, maintenance, and management of facilities to ensure a safe, efficient, and productive environment for occupants.
This role involves overseeing daily operations, managing vendor relationships, ensuring compliance with regulations, and driving continuous improvement in facility performance, meeting all KPI/CPI targets.
Key Responsibilities
Operational Management
Oversee day-to-day operations of staff and contractors who operate and maintain buildings.
- Serve as the single point of contact for facility-related issues and quickly address escalations.
- Liaise with clients and vendors to improve occupant satisfaction and ensure service delivery meets expectations.
- Transition operations from reactive repairs to preventive maintenance, extending the useful life of assets and capturing time and cost savings (1)(2).
Maintenance and Asset Management
Implement preventive, ongoing, and anticipated maintenance/repair programs.
- Monitor and track performance per scopes of work and contractual agreements.
- Utilize work order technology (e.g., Corrigo) to manage work orders, ensure SLAs are met, and track maintenance histories, parts, asset age, and costs (1)(3).
- Prepare and manage facilities budgets, ensuring spending aligns with financial targets (1)(4).
Vendor and Supplier Management
Maximize utilization of suppliers and preferred vendors/contractors, consistent with organizational goals.
- Source, evaluate, and manage relationships with third-party vendors and service providers (1)(3).
Compliance and Safety
Ensure compliance with safety regulations, building codes, and environmental standards.
- Promote a culture of safety and compliance, including risk mitigation, documentation, and reporting objectives (1)(5).
- Maintain accurate records of facilities activities and expenditures.
Continuous Improvement and Technology
Deliver insights into operations using data analytics and business intelligence tools.
- Drive operational excellence through the adoption of technology, automation, and best practices (1)(2)(3).
- Support sustainability initiatives and energy conservation measures as part of facility operations (6).
- Employee Experience, Communication champion for the sub-region.
- Organize & Perform daily site walks, conduct pulse surveys for client staff to seek their feed back, perception of Facility services, proactively develop action plan to deliver services with excellence and contribute to high Net Promoter Score for the respective sites.
- Develop communications for raising awareness from client staff for matters pertaining to Facilities/Corporate Real estate, seek approvals from relevant stakeholders and roll out.
Qualifications
- Experience in facilities management, employee experience.
- Strong project management and organizational skills.
- Excellent communication and interpersonal abilities.
- Proficiency in facilities management software and MS Office.
- Knowledge of building systems & processes (HVAC, electrical, plumbing, Human experience).
- Familiarity with relevant regulations and compliance requirements (1)(4)(5).
Preferred Qualifications
- Bachelors degree in Facility management or related field
- Experience with sustainable facility practices and energy management.
