NTU’s Wee Kim Wee School of Communication and Information seeks an Assistant Manager / Senior Assistant Manager to join the graduate programmes team.
The successful candidate will oversee the entire administration of the graduate programmes, including admissions, programme management, student administration, and related areas.
This role ensures the efficient delivery of academic and administrative services to meet the needs of the programmes and enhance the students’ learning experience.
Key Responsibilities
- Admissions Administration: manage the end-to-end admissions process, from application review to offer issuance; oversee the admissions and application processes (e.g., website updates, admission targets, shortlisting, interviews, documentation submission, timelines, and prompt processing aligned with the Office of Admissions).
- Outreach and Consultation: participate in physical and virtual information sessions, recruitment fairs, coffee sessions; conduct administrative briefing sessions and provide admission consultation to potential applicants.
- Collaboration: work with faculty, programme committees, NTU units, and partner universities on timelines, processes, and evaluations; maintain and improve admissions systems and data-driven outreach strategies.
- Programme Management: oversee timetable planning with Programme Directors, manage venue bookings, course registration, and proposals for new or revised courses; manage teaching requests, intake projections, and annual budget submissions; track budget and expenditures for graduate research programmes; implement process improvements.
- Student Administration: provide guidance to current students; manage lifecycle administration (leave of absence, withdrawal, dismissal, candidature changes, academic misconduct, fee waivers, etc.); respond to enquiries via phone, email, and in-person; support tasks such as fee aging reports and degree verification for awards.
- Exam Management: coordinate marks submission with instructors, support marks entry for part-time lecturers, oversee the marks checking process, prepare materials for Board of Examiners, and manage post-examination processes including final marks submission and exam appeals.
- Events: conceptualise and organise graduate student events (information sessions, brown bags, fireside chats); oversee event logistics and vendor liaison; support university-wide events such as convocation; supervise procurement of gifts and on-site logistics.
- General Administration: supervise procurement and finance tasks (purchase orders, invoice payments, and creating jobs for student assistants in internal systems); develop data management systems to support outreach, collaboration, and academic data collection; consolidate academic data and prepare management reports.
Key Requirements
- Bachelor’s degree with 5–7 years of relevant work experience, preferably in academic administration.
- Good communication and writing skills; able to engage diverse stakeholders.
- Strong people management, proactive problem-solving, and adaptability to dynamic environments.
- Excellent organisation and time-management; ability to plan and prioritise with multiple deadlines.
- Ability to evaluate existing processes and identify inefficiencies and improvement opportunities.
- Strong customer service focus with a passion for supporting faculty and students.
- Commitment to continual process and service delivery improvements; empathetic and tactful in approach.
- Self-motivated team player who can work independently and collaboratively in a team.
