The National University Health System (NUHS) Regional Health System Office (RHSO) is seeking a detail-oriented and efficient candidate to support our operations team.
Responsibilities
- Administrative coordination and meeting management
- Maintain and update comprehensive clinical staff rosters, including leave schedules and on-call arrangements for clinicians, administrators, and allied health professionals
- Coordinate and manage logistics for regular clinical and leadership meetings, including scheduling, room bookings, and follow-up actions
- Manage complex calendars for leadership team
- Training and development support
- Coordinate training plans with internal stakeholders and external vendors for RHSO staff
- Manage training records, track Continuing Professional Education (CPE) points, and facilitate CPE point applications
- Document and report on training programs and progress
- Process EPIC system access requests for staff
- Office and facility management
- Liaise with Facility Management, vendors, and CIFO to address and resolve office maintenance issues promptly
- Process monthly bills and claims, ensuring timely submission for payment
- Conduct comprehensive office orientations for new hires, including safety and security briefings
- Manage office access control for staff across RHSO locations
- Support weekend community health events as needed
Qualifications
- Diploma in any discipline
- 2+ years of relevant administrative experience, preferably in healthcare settings
- Strong proficiency in Microsoft Office Suite, with advanced Excel skills
- Excellent organizational and multitasking abilities
- Strong communication skills and attention to detail
- Ability to work independently and collaboratively in a fast-paced environment
- Willingness to work at various NUHS cluster locations as required
