Position Overview

We are seeking a highly motivated and detail-oriented Management Trainee to serve as the Personal Assistant to the CEO.

This role provides a unique opportunity to work closely with senior leadership, gain hands-on exposure to executive-level decision-making, and develop strong project management and organizational skills.

The ideal candidate is proactive, discreet, adaptable, and eager to grow into a future leadership role.

Key Responsibilities

Executive & Administrative Support

  • Provide comprehensive administrative assistance to the CEO, ensuring efficient daily operations.

  • Manage and optimize the CEO's calendar, scheduling meetings, travel, and events with foresight to align with business priorities.

  • Prepare meeting agendas, briefing materials, and follow-up trackers to ensure timely execution of action items.

  • Handle confidential documents and sensitive information with integrity and discretion.

Communication & Coordination

  • Act as the primary liaison between the CEO, internal teams, and external partners, ensuring timely and professional communication.

  • Draft, review, and prioritize email correspondence on behalf of the CEO, flagging urgent items and categorizing tasks for delegation.

  • Ensure the CEO is kept updated with reminders and progress on critical matters.

Information & System Management

  • Facilitate smooth information flow across teams, maintaining accuracy and clarity in communication.

  • Review and process expense requests, ensuring clarity of background and reasonableness before CEO approval.

Problem Solving & Task Prioritization

  • Anticipate potential issues, propose practical solutions, and adapt to urgent or shifting priorities.

  • Distinguish between critical and non-critical matters, ensuring the CEO's focus is directed toward high-impact activities.

  • Proactively anticipate needs, take ownership, and drive execution to closure.

Qualifications

  • Bachelor's or Master's degree from a top university.

  • Strong organizational skills with the ability to manage multiple priorities under pressure.

  • Excellent written and verbal communication in English (Mandarin a plus).

  • High level of discretion, professionalism, and attention to detail.

  • Demonstrated problem-solving skills and ability to work independently.

  • Previous experience in executive support, consulting, or high-pressure environments is an advantage.
