Job Summary:
We are looking for a Department Assistant who provides administrative support to ensure efficient operation of the department.
This role involves organizing schedules, handling correspondence, maintaining records, and assisting with various departmental tasks.
Key Responsibilities:
Administrative Support:
Manage schedules, appointments, and meetings for department members.
Handle department correspondence, including emails, letters, and calls.
Documentation and Records Management:
Maintain and update department files, databases, and records.
Prepare reports, presentations, and other documents as needed.
Office Coordination:
Order and maintain office supplies.
Coordinate with other departments or external vendors as required.
Event and Project Support:
Assist in planning and organizing departmental events or projects.
Monitor project timelines and provide administrative support where needed.
General Assistance:
Provide day-to-day support to department staff for miscellaneous tasks.
Handle any ad hoc duties assigned by department management.
Requirements:
Diploma or equivalent qualification in business administration or related fields.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Proficiency in Japanese or Chinese is a plus, as this role may involve liaising with international clients or stakeholders.
