Job Description:

Main Mission: To support the Events Manager in planning, designing and executing various events such as concerts, conferences, internal events and community events.

  • Propose original ideas for events to promote creativity and engagement.

  • Coordinate room bookings (internal and external) to ensure smooth execution.

  • Select caterers and define menus to meet diverse tastes.

  • Rent necessary equipment and furniture to create an optimal atmosphere.

  • Finding reliable service providers for sound, lighting, decoration and speakers to enhance the overall experience.

  • Establish contacts with potential speakers for future events to foster relationships.

Event Preparation:

  • Organise briefings for maintenance, catering, security and audiovisual teams to ensure effective communication.

  • Install signage to provide clear directions and information.

  • Ensure consistency and smooth operation of media content on broadcast media to engage the audience.

  • Set up sets and other equipment on D-day to guarantee a seamless event flow.

  • Manage service providers in compliance with safety standards to maintain a secure environment.

Event Communication:

  • Help design posters to visually promote the event.

  • Create invitations to encourage registration and participation.

  • Monitor registrations and send reminders to avoid last-minute cancellations.

  • Support volunteers and students involved in event organisation to build a sense of community.
