OceanX Education seeks an Event Operations Manager to oversee the planning and execution of public programs and events, ensuring seamless operations, logistics, safety compliance, and vendor management.
The role collaborates with internal partners and external vendors to deliver safe, efficient, and impactful experiences.
The ideal candidate will manage high-profile, multi-stakeholder events with a focus on operational excellence that supports OceanX Education’s educational and engagement goals.

Position Location
Responsibilities
Oversee all logistics for public events, including venue setup, AV systems, staging, security, permitting, and cross-team staff coordination, with emphasis on technical execution and operational efficiency.
Serve as the technical lead for event infrastructure, including configuration and operation of audiovisual systems, live-streaming platforms, simultaneous translation tools, and digital engagement software.
Manage vendor relationships, RFPs, contract negotiations, and SLAs; ensure vendor performance through KPIs and post-event evaluations.
Maintain and track event budgets using financial management tools; generate detailed cost reports and apply data-driven analysis for cost optimization.
Implement robust safety protocols, risk assessments, contingency planning, incident response procedures, redundancy of critical systems, and compliance with accessibility standards.
Coordinate with programming and audience engagement teams to align logistics and technical systems with content and community needs.
Build and maintain run-of-show documents, production schedules, and digital project trackers with contingency pathways for mission-critical elements.
Ensure compliance with local regulations, labor requirements, health and safety standards, and insurance coverage across jurisdictions.
Manage onsite operations with troubleshooting, real-time staff coordination via comms, and live monitoring of AV/IT systems.
Develop and maintain a post-event reporting framework, analyzing operational and technical metrics to drive continuous improvement.
Willingness to travel regionally and manage onsite execution across multiple venues; willingness to work flexible hours to support cross-time zone collaboration.
Adaptable to varying workloads and capable of balancing periods of focused execution with lighter operational phases.

Qualifications
A Bachelor’s degree in Event Management, Communications, Marketing, Business Administration, or related field
7+ years of experience in event operations, production management, or technical event delivery
Proficiency in event management software (e.g., Cvent) and project management platforms (e.g., Smartsheet, Monday.com, Notion)
Strong expertise in AV technologies and IT/streaming platforms (e.g., Zoom, Teams Live, Vimeo)
Familiarity with CAD software or digital floor planning tools for venue layouts and staging design
Experience building and managing detailed production schedules, run-of-show documents, and technical schematics
Solid understanding of safety protocols, risk management frameworks, and accessibility standards
Strong vendor management skills, including RFP development, contract negotiation, and SLA monitoring
Experience leveraging AI tools and presentation/analytical tools (PowerPoint, Excel); willingness to experiment with new tools
