Job Purpose

The Executive will support our Career Services offerings which is part of the Professional Development (PD) team.

PD looks at designing and running experiential and professional learning programmes to help students build critical career preparation and professional skills, clarify their goals and connect with internship and employment opportunities.

This role has a specific focus on Career Services which look into enhancing employer engagement and supporting career-related initiatives for our students.

It has a mix of administrative tasks and stakeholder engagement with a specific focus on students and employers.

The stakeholders include our postgraduate students, employers, faculty, and alumni.

It contributes to delivering quality career services that in turn supports the School's Education Objective e.g. Enhance Quality Student Experience.

Job Description

  1. Administrative Support
    -Manage day-to-day administrative tasks such as responding to inquiries and managing mailboxes.

    Respond promptly and professionally to our post-graduate students, faculty, employers with good customer-service skills.
    -Write meeting notes; manage procurement, purchasing payment and budget tracking for the team including processing invoices and claims.

  2. Data Management
  3. Maintain and update the employer database.

    Assist with data analysis, report and presentation creation to support decision-making and reporting e.g. Strategy Map Scorecard & Reporting.

  4. Assist with the collating and updating SOP documents and looking into business process improvements for the team.

  5. Content Management
  6. Help to update websites, blogs and social media platforms for the team.

  7. Source for and post job and internship opportunities that are relevent to our students.

  8. Assist with managing and collating job applications for employer partners for Career Services initiatives e.g LKYSPP Internship Programmme (LIP).

  9. Event Coordination: Provide logistical and marketing support for events organised by CS and PD including coordinating with students and employers to ensure successful turnout
  10. Employer Engagement:
  11. Support relationship building with employers and with content development for employer outreach (text and video)
  12. Support any other duties as assigned

Qualifications

  1. Minimum 2 years of relevant experience.

    Preferrably someone who possess 2 to 5 years of work experience in career services, recruitment/job placement or higher education.

    Those with experience working with international students at a post-graduate level will be a bonus.

  2. Proficiency in English is a must.

  3. Good IT skills, proficient with MS Office applications (MS Excel in particular), Adobe Photoshop:
  4. Familiar with Zoom, MS Teams, content management systems, customer relationship management systems and social media platforms
  5. Familiar with Sitefinity, Symplicity and Wordpress
  6. Graphic design, photography, video production and video editing skills
    Able to work with different systems e.g. Familiar with Ariba, MS Teams, ZOOM, Qualtrics
  7. Strong organisational and planning skills, with the ability to manage multiple tasks and priorities.

  8. Good written and verbal communication skills, with the ability to interact with a diverse range of individuals.

  9. Fast learner with a positive work attitude who is comfortable working in a dynamic and constantly changing environment.
    Note: This role requires one to support interdepartmental initiatives like Orientation, and to work unsocial hours (e.g. evenings, weekends) occasionally.
