Job Description

To provide administration and research support for Vice-Deans and RSU.

  1. Executive and Administrative Support

  2. Provide secretarial and administrative assistance to two Vice-Deans, including calendar management, scheduling of meetings, and coordination of appointments.

  3. Manage travel arrangements, including booking of flights, accommodation, and ground transport, as well as processing travel and expense claims in a timely manner.

  4. Organise departmental events such as meetings, working lunches, and ad hoc engagements.

  5. Record minutes of internal meetings and ensure appropriate follow-up on decisions and action items.

  6. Research and Community Support

  7. Support the planning, coordination, and logistics of research-related activities such as seminars, workshops, brown bag sessions, and speaker series.

  8. Raise and prepare procurement documentation in accordance with the University Procurement Policy.

  9. Process invoices and reimbursement, and work with Finance to address payment issues.

  10. Assist in the administration and monitoring of research grants, ensuring compliance with relevant terms and conditions.

Undertake ad hoc research-related and administrative assignments as required.

Qualifications

  • Minimum 1-3 years' experience in an administrative or Personal Assistant role.

  • Diploma or Degree from a recognised institution/university.

  • Strong knowledge of secretarial duties.

  • Possess good administrative and organisation skills.

  • Fluent in spoken and written English.

  • Able to work independently.

  • Good communication and interpersonal skills.

  • IT savvy and proficient in Microsoft Office applications.
