Responsibilities:
Provide high-level administrative support to the Senior Leader, including managing their calendar, scheduling appointments, and coordinating meetings across multiple time zones.
Organize travel arrangements, including booking hotels, transportation, and preparing detailed itineraries to maximize the Senior Leader’s time.
Coordinate and assist with organizing online, hybrid, and in-person events, team meetings, and workshops.
Prepare meeting materials (presentations, minutes) and ensure timely sharing of agendas and relevant documents with the team.
Handle department budget and procurement of office supplies while managing purchase orders and invoices.
Support the preparation of reports, data visualization, and maintaining departmental metrics for senior leadership.
Requirements:
Minimum 7 years of executive assistant experience, preferably supporting senior management in a head or regional office.
Strong experience in event planning and managing calendars across multiple time zones.
Proficient in Microsoft Office (Excel, Word, PowerPoint) and familiarity with data visualization tools (e.g., Canva, infographics).
Highly organized, detail-oriented, and capable of managing multiple tasks under pressure.
Excellent communication, interpersonal skills, and the ability to work independently and as part of a team.
Proficiency in English and a high level of confidentiality, with a sense of urgency when required.
