About the Role:
We are seeking a highly organized and proactive Executive Assistant cum Office Manager to support senior leadership and oversee day-to-day office operations.
This role is critical to ensuring seamless administrative support and a well-run, professional environment for our executive recruiting firm.
The Managing Partner sits in Singapore with other partners in Hong Kong, Tokyo and Sydney.
Key Responsibilities:
- Provide high-level executive support including calendar management, and meeting coordination.
- Manage office operations, supplies, and vendor relationships to ensure a smooth and efficient workspace.
- Assist with client and candidate communications, scheduling interviews, and maintaining CRM/database records.
- Prepare presentations, reports, and correspondence as needed.
- Coordinate internal events, meetings, and team support activities.
- Handle confidential information with discretion and professionalism.
Qualifications:
- Proven experience as an Executive Assistant and/or Office Manager, ideally in a professional service or recruiting environment.
- Excellent organizational, communication, and multitasking skills.
- Proficiency in Microsoft Office Suite and familiarity with Concur, CRM or ATS platforms.
Advanced skills in Excel and PowerPoint would be a plus.
- Discreet, resourceful, and solutions oriented.
- Good-natured and pro-active.
- Experience in Project Coordination is a plus.
