The Job
Mighty Jaxx is looking for an Executive Assistant to provide dedicated and proactive support to the Chief Executive Officer.
This role is instrumental in optimising the CEO’s time, ensuring seamless daily operations and facilitating efficient communication across internal and external stakeholders.
You will play a critical role in managing schedules, coordinating high-priority tasks, and representing the CEO’s office with discretion and professionalism.
Responsibilities
Calendar & Scheduling Management
Manage the CEO’s daily schedule, including meeting arrangements and calendar planning
Coordinate internal and external meetings with precision and foresight
Ensure ample time allocation for priority activities and reduce scheduling conflicts
Travel & Logistics Support
Plan and book all travel logistics, including flights, accommodation, visas, and itineraries
Ensure smooth execution of all travel-related matters in advance
Prepare and provide travel packs and briefing documents for business trips
Administrative Support
Manage and process expense claims, reimbursement submissions, and documentation for the CEO
Handle confidential files, correspondence, and records with discretion
Support preparation of materials and briefings ahead of CEO meetings
Requirements
Prior experience in a Personal Assistant or Executive Support role is required
Strong organisation and multi-tasking skills with attention to detail
Excellent verbal and written communication abilities
Proficient in calendar and travel planning (e.g. Google Calendar)
High discretion and professionalism when handling confidential information
Ability to work independently, manage ambiguity, and adapt to changing schedules
