Position Overview:
We are seeking a highly organised and proactive Executive Assistant to support our executive team with high-level administrative functions, business development coordination, and office management.
This role is essential to maintaining smooth operations and ensuring effective communication within and outside the company.
Key Responsibilities:
- Provide comprehensive administrative support, including calendar management, travel arrangements, and preparing reports.
- Coordinate and prepare business proposals and support business development (BD) activities by organising market visits and client meetings.
- Oversee office operations, ensuring a well-organized, efficient workspace.
- Organize and prepare for internal and external meetings, ensuring agendas are set and materials are distributed in advance.
- Maintain and manage records, files, and documents, ensuring easy access and confidentiality.
- Act as a liaison between executives, clients, and internal teams, upholding professionalism and confidentiality.
- Collaborate with various departments to streamline processes and support project requirements.
- Support in tracking project timelines, deadlines, and other key milestones.
Qualifications:
- Minimum of 3-5 years of experience in an Executive Assistant or similar role, preferably in the building construction industry or consultancy.
- Strong organizational and multitasking abilities with a meticulous attention to detail.
- Proficiency in MS Office; experience with CRM or project management tools is an advantage.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a collaborative team.
- Familiarity with industry standards, terminology, and practices within the construction or engineering consultancy field.
- Strong problem-solving skills, adaptability, and a proactive approach to tasks.
