Job Description
The Executive, Carpark Operations & Administration is part of the Guest Service Department and is responsible for all Carpark Operations and provides general support to all the Departments within the property.
He or she will ensure the overall timeliness and accuracy of all the tasks are being assigned to him or her and will report to the Residence Manager.
The other job responsibilities include the following:
Attend to all internal and external telephone callsAttend and respond to all general enquiries received via emails on a timely basisCheck and certify true copies of all invoicesVerify and ensure accuracy of the information on all invoices (ie; Delivery orders, amounts and billing entities)Raise purchase orders through Oracle System for carpark related purchase and collaborate with Finance Department to process paymentsKeep stock of carpark stationery or items and replenish them, if requiredPrepare, check and compile month-end carpark reports (Tailgate, Blacklist, Manual Barrier, etc)Prepare performance reports for carparkSafekeep all contracts and licenses and follow-up on renewals Be involved in organising staff welfare related matters including administrative mattersDaily settlement report checks for parking (Nets and LTA)Processing of season parking application and billingMaintain administration records and coordinate with Finance for relevant accounting mattersEnsure accuracy of record entriesPerform additional duties in addition to those listed/described above and/or vary the scope of work according to business requirements.Job Requirements
The candidate must possess the following:
Minimum 4 years of relevant administrative experience in the hospitality industry and/or Diploma in Business Administration or Hospitality ManagementGood personality and well-groomedExcellent telephone skills and good email etiquetteAbility to multitaskAbility to work independently and in teamsMeticulous and service-orientedDisplays initiativeGood time management and organisational skillsStrong verbal and written communication skillsAbility to work with personnel from all levelsKnowledge of Microsoft Office, Excel and Outlook are strongly preferredBenefits
