Job Responsibilities
- Manage and liaise with vendors for quotations based on training requirements and setting (physical, virtual platform, in‑house and/or external premises), including but not limited to meal(s) and transport arrangement, logistical arrangements, corporate gifts, training souvenirs, dispatch contractual documents and ensure strict compliance with all applicable policy, submission of forms, processing of invoices, verifying of supporting documents and tracking expenses.
- Manage all operational aspects of training administration matters such as reaching out to internal divisions for nomination of speakers, dissemination of course communications and relevant materials to participants, speakers, and appointed vendors, follow up on make‑up session for any cancellations, preparation of training materials, conduct stock take of inventories.
- Administer data entry and updating of relevant trackers, and consolidation of data, including but not limited to tracking of participants’ attendance, replacements and withdrawals, attendance lists and evaluation forms.
- Manage and ensure venue set‑up and tear‑down (and reinstate venue to be ready for next use) and act as liaison for Corporate Training Room booking request, pre‑event set‑up, internal coordination, and dissemination of information, sending out administrative materials (cue sheets, administrative programme, production note).
- Manage and update technology tools such as create and edit learning sessions on Learning Management System (LMS), verify and grant access to Learning Business Partner, create and maintain Microsoft Teams chat with participants as a means of communication and dissemination of information.
- Manage and coordinate site visits and tours, prepare Visitor Pass for external trainers, including but not limited to facilitate Airport Pass exchange for visits that require access into Restricted Area.
- Monitoring service quality and managing the mailbox attending to all employees’ and/or vendors’ queries and requests, escalation to relevant stakeholders to ensure closure to the queries and requests.
- Participate in system enhancement activities such as systems User Acceptance Testing of application where required.
- Handle ad‑hoc activities as and when requested.
Job Requirements
- Minimum Diploma graduate with 1‑2 years of HR administrative experience.
- Able to multitask and good time management skills with the ability to prioritize tasks.
- Proficient in Microsoft Office and Outlook.
- Work schedule: Monday – Thursday 8:30am – 6pm, Friday 8:30am – 5:30pm.
- Location: Changi Airport MRT.
