Job Description:
This role is responsible for providing comprehensive HR and administrative support for both office and project staff, as well as construction workers.
While the primary focus is on HR and administration, the individual will occasionally assist with accounting tasks, ensuring smooth operations across the HR, administrative, and financial functions.
Key Responsibilities:
Provide full-spectrum HR and administrative support for office staff, project staff, and construction workers.
Handle full-cycle recruitment, including, job posting and sourcing candidates, arranging interviews, preparing contracts, assist in onboarding and exit clearance procedures for employees.
Maintain accurate and up-to-date employee records and HR databases.
Monitor, administer, and process visa applications, work pass applications (including renewals and cancellations) for foreign workers.
Draft and prepare letters, including confirmation appointments, salary increments, promotions, and other official documentation as required.
Perform full-spectrum payroll duties, including salary computation, overtime, and leave administration.
Ensure timely and accurate processing of payroll for both office and construction staff.
Assist in Accounts Receivable (AR) and Accounts Payable (AP) functions, including managing invoices and processing payments.
Input supplier invoices and process credit notes or adjustments.
Ensure timely and accurate payments to suppliers, resolving any billing discrepancies with the project team.
Assist in stock-in/out data entry, manage stock movements, and issue Delivery Orders (DO) and Packing Lists.
Maintain accurate stock records and assist in stock reconciliation as needed.
Submit Office Applications (OA) to HQ for approval.
Handle incoming calls and provide assistance with any other ad-hoc administrative tasks assigned.
Requirements:
Education: Must possess at least a Diploma, Advanced/Higher/Graduate Diploma in HR, Finance, Accountancy, Banking, or equivalent.
Experience:
Must have experience in managing foreign worker.
At least 1 year of relevant work experience in HR, Accounts, or Administration, ideally in a construction environment or dealing with foreign worker management.
Experience in grant applications is a plus.
Language Proficiency:
Able to read and write in Chinese (for liaising with Chinese-speaking colleagues in HQ).
Skills:
Knowledge of HR processes, work pass management, payroll, and general administrative support.
Familiarity with basic accounting practices and data entry.
Strong communication skills and attention to detail.
Ability to work independently and as part of a team.
