The Institution of Engineers, Singapore (IES), established in July 1966, is the national society of engineers in Singapore.

IES is the premier engineering Institution in Singapore and is often enagaged by the Government for feedback on professional engineering matters.

Through collaboration with local universities and polytechnics, IES organizes courses, seminars, and talks for continuous professional development.

IES maintains close ties with engineering organizations regionally and globally, including those in Australia, China, Japan, and the United States.

IES represents Singapore in international organizations to promote goodwill and fellowship among engineers.

Role Description

This is a full-time on-site role for a Joint Registry Executive at IES, located in Bukit Timah.

The Joint Registry Executive will be responsible for managing the engineering registry, coordinating with engineers and other stakeholders, maintaining database records, and ensuring compliance with professional standards.

The role also involves organizing and supporting events, seminars, and meetings, and providing administrative support to the engineering committees.

Key Responsibilities are:

·      Administer registry applicants (New & Renewal) and maintain proper.

·      Records their own respective registries.

·      Provide progressive registry update bi-weekly.

·      Attend and verify documents submission by applicants.

·      To ensure all required fees collected for new & renewal applicants.

·      Send periodic reminders through emails and calls for yet to renew.

·      Organize, maintain & update website content, files and records for respective registries in-charge.

·      Coordinate interview sessions between applicants & interviewers and submit recommendation to Committee for approval.

·      To lead and schedule quarterly or half yearly meeting for committee and record minutes of meeting.

·      Responsible to prepare Registry Annual Reports for IES AGM.

·      To organize yearly registries networking events for members including preparation of budget and generation of expenses report.

·      To review CPD request and send to Committee for approval.

·      To support IES major events like AGMs, annual D&D, World Engineers Summit, and National Engineers Day.

·      To perform any other duties assigned by immediate supervisor.

Qualifications

  • Minimum Diploma with 3-5 years of experience
  • University Graduates with no working experience are welcome to apply
  • Database management and record-keeping skills
  • Event coordination and organizational skills
  • Excellent communication and interpersonal skills
  • Proficiency in MS Office applications
  • Attention to detail and accuracy in documentation
  • Experience in the engineering industry is a plus
  • Fluency in writing and speaking of English Language is a requirement.

  • PC savvy, Proficient in Microsoft Office and email communication
  • Must have good interpersonal skills and able to handle stressful situation
  • Independent, responsible and able to meet agreed deadlines and deliverables set
