The Manager, Documentation Governance & Compliance is responsible for establishing and maintaining a structured framework for the company's documents, ensuring they meet international best-practice standards (ISO-aligned) for consistency, accuracy, and compliance.
This role safeguards the integrity of company policies, SOPs, manuals, and records, ensuring they are up-to-date, accessible, and compliant with internal and external requirements.
Document Governance
- Develop, implement, and maintain company-wide documentation standards aligned with ISO principles.
- Establish and manage processes for document creation, review, approval, version control, and archival.
- Ensure consistency and clarity across all corporate documents, policies, and SOPs.
Compliance & Standards
- Monitor and ensure documents comply with relevant regulatory and legal requirements.
- Provide guidance to departments on maintaining documentation that aligns with compliance and audit standards.
- Conduct periodic internal reviews of documentation to ensure accuracy and completeness.
System & Process Management
- Manage the central document repository to ensure secure access and proper categorization.
- Identify and implement tools or systems to improve documentation efficiency and accessibility.
- Track and report on document compliance metrics (e.g., review cycles, expired documents, outstanding approvals).
Training & Stakeholder Support
- Train and support employees on documentation best practices and compliance requirements.
- Work with department heads to ensure their teams' documents meet governance standards.
- Act as the primary contact point for documentation governance queries.
Qualifications & Requirements (Education, Experience, Skills, Knowledge, Etc)
- Bachelor's degree in Business Administration, Compliance, Quality Management, or related field.
- Minimum 5 to 7 years of experience in document control, compliance, governance, or a similar role.
- Strong knowledge of ISO standards (e.g., ISO 9001) and documentation best practices, even if not pursuing certification.
- Familiarity with document management systems (DMS) and digital filing tools.
- Excellent attention to detail, organizational, and analytical skills.
- Strong communication and stakeholder management abilities.
- Ability to work independently and collaborate across multiple functions.
- Proactive mindset with the ability to establish new processes and drive adoption across the business.
