Responsibilities
Billing Admin
Manage the media billing processes, including coordinating with media planning teams on billing instructions
Conduct media plan actualization and reconciliation monthly
Update spots and remarks on Publicis’s proprietary billing platform based on actualized amounts
Generate proforma invoices for approval by the shared service team
Resolve billing discrepancies with stakeholders such as media vendors, media, finance, and shared service teams
Monitor billing status and report accordingly
Participate in finance WIP billing meetings to ensure client invoices are processed timely
Support onboarding of new suppliers and ensure 100% billing completion within three months of activity end date
Respond to client billing queries as needed
Media Buying (Offline and/or Online)
Handle day-to-day media buying activities for the agency
Negotiate and maintain relationships with media owners to secure competitive master contract pricing
Understand client business objectives and online media role from planning to billing
Identify and deliver added value opportunities across clients
Book campaigns according to briefs and ensure financial accuracy
Monitor campaign delivery, reconcile under-deliveries, and assist with auditing
Manage invoicing processes, including proof of ads, supplier invoices, TV reporting, and signed schedules
Monitor ad server and vendor reporting performance
Update and report on client expenditure by campaign and media
Maintain media master contract compliance
Prepare creative materials and manage submission timelines
Keep WIP reports updated and ensure job reconciliation and closure
Qualifications
1-3 years experience in media agency handling media trafficking or buying, with familiarity with major publishers
Proficiency in offline buying; experience with online buying and digital ad operations is preferred
Strong numerical skills and intermediate proficiency in Microsoft Excel (pivot tables, VLOOKUP)
Analytical, meticulous, with an excellent eye for detail
Team player with an action-oriented mindset, capable of working independently
Eager to learn and become proficient in billing tools and systems
Excellent written and verbal communication skills
Proactive, able to prioritize tasks, and work under pressure
