    ABOUT THE POSITION

    In this fast-paced role, you will be responsible for managing the daily operations of our Brisbane office to ensure a well-organised and efficient workspace, as well as providing support to remote workers as required.

    Reporting to the Head – Human Resources, this position provides support to senior leaders and employees with tasks related to workplace logistics, event management and administrative duties.

    Effective written and verbal communication is essential in this role, as is the ability to multi-task and manage competing priorities under compressed timeframes.

    This role requires a high level of organisational skills and a willingness to be flexible and adapt to changing business requirements, sometimes at short notice.

    KEY RESPONSIBILITIES

  • Organise and maintain all office areas (including communal kitchen space), replenish supplies and manage mail.

  • Manage office supplies and procurement, including working with onsite IT support to procure required technology-related supplies.

  • Manage events for the organisation, including milestone events and associated gifts.

  • Support management team with administrative tasks including meeting preparation support and document preparation where needed.

  • Support HR team with administrative requirements including recruitment interview scheduling and documentation management.

  • Answer phones and emails, greet visitors, maintain a clean reception area.

  • Arrange appointments and conference logistics, manage meeting rooms, and provide refreshments.

  • Coordinate travel bookings, maintain travel profiles and support staff with ad-hoc travel requests.

  • Communicate with building owners or property managers to ensure compliance with building codes and regulations and handle lease matters related to office tenancy.

  • Perform other administrative duties as assigned.
  • EDUCATION

    Secondary Certificate


    Certificate in Business Administration or similar would be desirable.

    Experience

    The successful candidate will have a minimum of 3 - 5 years of relevant work experience, as well as proficiency in Microsoft Office 365 and other relevant software such as expense management and travel booking systems.

    Excellent written and verbal communication skills are essential to the role, with event coordination experience desirable.

    SKILLS

    This role requires highly developed interpersonal skills, including a collaborative, team-oriented and flexible approach to work, with the ability to maintain the confidentiality of sensitive information from time to time.

    A demonstrated ability to plan and work efficiently with multiple competing deadlines, exceptional attention to detail and the ability to work independently with minimal supervision will be highly regarded.
