Contexte et environnement

• 24/7 long hours operations including week-end and holidays whenever required to follow up on the supply of lubricants to Lubmarine vessels in Singapore and Malaysia ports.
  
  

• Working in a high intense demand environment with customers expectation on zero miss delivery standard protocol.
  
  

• Ensure that inventory at 3 contracted bulk steel barges and 3rd party storage warehouse stock are closely monitored and replenished at all times.
  
  
• Ensure that all deliveries of orders to Lubmarine vessels are executed timely.
  
  

Activités

Order Processing and Delivery Management Daily Activities :

• Base in Tuas Blending Plant Singapore office, ensure all orders for supply to vessels are received with acknowledgement from Lubmarine department and arrange for timely delivery to their customers vessels and also to feedback delivery status in LoT (Lub On Time) System platform portal.
  
  
• To ensure that all orders from system platform given to 3rd party contractors are acknowledged and checked daily.
  
  
• To ensure that all orders from system platform are executed timely to Term & Condition Barges supply schedule.
  
  
• To input and cross check customer PO with SAP system (Internal) as to generate Delivery Note (DN).
  
  
• To program in the scheduling of Marine chartered steel bulk barges and 3rd party contractors for timely deliveries to vessels in Singapore harbours, OPL (Outer port limit of Singapore).
  
  

Bulk & Pack products Stock Monitoring and Replenishment Activities :

• To program & manage in scheduling of Marine 03 chartered steel bulk barges and 3rd party contractors Barges for timely deliveries to all vessels within Singapore harbours, berth & anchorage.
  
  
• To manage the transfer of marine bulk stocks from Tuas Plant to chartered steel bulk barges using SLP @ Tuas terminal jetty.
  
  
• To plan and replenish the Bulk & Pack stocks for 03 Chartered steel bulk barges, as well at SLP terminal and to co-ordinate with Tuas internal production and planning departments on the bulk loading schedule at SLP terminal.
  
  
• To closely monitor & coordinate with local appointed shipping agents and check with PSA Port-net / Marinet for arrival notice of vessels and arrange timely supply to vessels.
  
  
• To assist in daily IBC replenishment and 3rd party service provider Stock Inventory daily movement for Tuas plant and 3rd Party service provider warehouse inventory.
  
  
• To ensure that all delivery orders given to 3rd party contractors are retrieved & returned with vessels signature / stamped by Chief Engineer of the vessels, as to facilitate for billing/invoicing to Lubmarine counterpart, inclusive of the delivery checklist , barge loading report and flow meter ticket.
  
  
• To retrieve the original ship receipts from current 3rd party Service Providers / 03 Chartered steel bulk barges and hand over to LM customer service (Order Manager) team for Vessel Stamp endorsement.
  
  
• To ensure that all stocks are issued with delivery notes (DN) from the SAP/template light inventory system.
  
  

Administration Activities :

• To prepare Post Goods issue process after full (DN) document has been received by 3rd party Service Providers in SAP system.
  
  
• As Delivery Manager to ensure & acknowledge Order managers from System platform, to support on all orders coordination & communication from Order managers (Internal & External).
  
  
• To ensure to provide support on the scheduled supply arrangements and any inquiry operation - 7 days 24 hours with internal, external customers as well as 3rd Party Service Providers / 03 Chartered steel bulk barges communications, with all urgent matters/ incidents must be responded within 02 hours within the regular group chat.
  
  
• To save & print out all LOT new/ amendment orders in PDF upon notification from noreply- & update all relevant information (ETA/OM In-Charge) communication via LOT system platform together with LOT user DATA file, commonly located in the shared drive.
  
  
• To ensure on all New Orders/Amendment fulfil 02 working lead time by OM in System/Email - All credit block/ Pending for Agent Details in LOT order must be closely monitored/released/updated by OM and credit manager to DM promptly before actual Vessel ETA.
  
  
• To update ETA supply confirmation (SC) in LOT system platform once confirm from Local Agents/ 3rd Party Service Providers / 03 Chartered steel bulk barges data report.
  
  
• Job Rotation for Barge / Pack Programming officer when applicable & act as Back-up for duty DM.
  
  
• To ensure that all stocks inventory transactions at chartered steels bulk barges are maintained accurately in the SAP/ Template Light inventory system.
  
  
• To reconcile the stocks on barges with our SAP inventory system monthly.
  
  
• To prepare daily deliveries schedule report and monthly report of lifting by vessels.
  
  

Profil du candidat

• Education: Diploma / Degree in Logistics and Supply Chain Management
• Expertise: 5 years relevant working experience in planning / similar Marine lubricant operations
• Knowledge: Singapore Anchorage Locations / Port/Berth/Terminal - Functions/Operations / Shipping with Transport coordination & management
• Language: English & Mandarin
• Skill: Planning, scheduling and Marine deliveries to vessels
