Job description

About the Role

You will be part of the Corporate Admin Team supporting church level activities.

You will also provide administrative support to 2 HQ ministries and their operations’ needs as assigned by the Operations Manager.

This role requires strong administrative and organisational skills to ensure effective and smooth running of the HQ functions.

As the role also requires communicating with and handling tasks for the Chinese Ministry, proficiency in Mandarin language would be preferred.

What you’ll do

  • Assist in Annual Business Meeting, Water Baptism and Membership process, including handling applications, database management, maintenance and updates in the integrated church management system
  • Support HQ ministries for their administrative needs such as organising and following through on meetings, ministry claims, budgeting and monitoring, preaching schedules, guest speakers management
  • Assist in Church-wide, Special Projects/ Events as assigned, especially Church Retreats, Governance, Compliance and PDPA matters of the church
  • Assist in providing training admin support for onsite classes and zoom lessons both, printing of training materials
  • Provide administrative support for community outreach activities
  • Manage the church mainline, responsible for room bookings, manage HQ office administration (housekeeping, mails, pantry, stationary, supplies, storage, etc.)
  • Assist in procurement related matters such as tracking inventories, raising purchase orders, distribution of service elements and gifts to campuses etc.

  • Co-ordinate with campus admin team to ensure efficient and effective processes/ workflows for ministries
  • Liaise across various HQ departments and work together to support operations
  • Assist Operations Manager in managing external organisations, coordinating and managing special events, external conferences etc.

Who you are

  • Serving your full-time call to ministry, and willing to work during weekends
  • Hold a Diploma or Degree in Administration or related field
  • Dependable, responsible, independent and resourceful, with a positive mindset
  • Strong team player who’s ready to roll up sleeves and work alongside a team that’s hardwired to work hard, and for whom work is a joy to serve in the Kingdom of God
  • Possess good verbal and written communication skills, especially minutes writing
  • Able to build and effectively manage interpersonal relationships at all levels
  • Possess good administrative, organising and execution skills
  • Able to multi-task and manage multiple projects concurrently
  • Proficient in computer processing skills such as Microsoft Office, and systems skills such as Business Central
