The Business Administrator is responsible for managing the full life cycle of customer orders, ensuring timely and accurate order fulfilment, maintaining high levels of customer service, and acts as a liaison between internal departments and external partners.
Responsibilities:
Order Processing
Receive Customer orders via EDI into our SAP, review the order.
Ensure accuracy in pricing, material number, and delivery terms.
Monitor order status and proactively resolve discrepancies if any.
Customer Communication
Serve as the primary point of contact for order-related inquiries.
Provide timely updates on order status, delays, or changes.
Handle OTB/feedback and escalate issues when necessary.
Work closely with internal dept, Logistics, Finance, and Supply Chain teams including Factories in Germany, UK and Malaysia.
Coordinate with warehouses and shipping partners to ensure timely delivery.
Documentation & Compliance
Prepare and maintain order documentation (invoices, delivery notes, etc.).
Ensure compliance with company policies and trade regulations.
Assist in audits and reporting as required.
System & Reporting
Use SAP for order tracking and management.
Generate regular reports on delivery status, order income, turnover, and KPIs.
Requirements:
Diploma or Bachelor’s degree in Business Administrations / Logistics or equivalent
Proficiency in SAP is preferred
Knowledge in Microsoft Windows
Possess soft skills like decision-making and problem-solving, good interpersonal skills, strategic thinking and having the capability to drive and execute change
Preferably possess at least 3 years of working experience in order management supply chain or equivalent environment
