Job description

We are seeking a highly capable and proactive Personal Assistant to support our Director in managing daily operational matters alongside traditional PA responsibilities.

This role requires a unique combination of executive support skills, legal knowledge, and technical understanding of ERP systems.

Key Responsibilities


Executive Support

  • Manage the Director's calendar, schedule meetings, appointments, and travel arrangements
  • Screen and prioritize incoming communications (emails, calls, correspondence)
  • Prepare meeting agendas, take minutes, and follow up on action items
  • Draft, proofread, and edit correspondence, reports, and presentations
  • Coordinate internal and external meetings, including logistics and materials preparation
  • Handle confidential information with discretion and professionalism

Daily Operations Support

  • Assist with day-to-day business operations and project coordination
  • Liaise with various departments to ensure smooth workflow and communication
  • Monitor and track project timelines, deliverables, and key milestones
  • Prepare operational reports and performance summaries for the Director's review
  • Support in vendor management and stakeholder communications
  • Handle ad-hoc operational tasks and special projects as assigned

Legal Coordination

  • Assist in reviewing contracts, agreements, and legal documentation
  • Coordinate with legal counsel on regulatory compliance matters
  • Maintain organized records of legal documents and corporate filings
  • Track important deadlines for legal submissions and renewals
  • Conduct preliminary legal research when required
  • Ensure proper documentation and filing of corporate legal matters

ERP System Liaison

  • Serve as a point of contact between the Director and ERP development/implementation teams
  • Understand ERP system functionalities and workflows to facilitate effective communication
  • Assist in gathering requirements for ERP system enhancements or modifications
  • Monitor ERP system implementation progress and report updates to the Director
  • Help coordinate user training and change management initiatives
  • Identify potential system improvements to enhance operational efficiency

Required Qualifications


Education & Experience

  • Bachelor's degree in Business Administration, Law, Information Systems, or related field
  • Minimum 3-5 years of experience as a Personal Assistant or Executive Assistant, preferably supporting C-level executives
  • Prior exposure to legal environments or legal administrative work
  • Demonstrated experience working with or understanding ERP systems (SAP, Oracle, Microsoft Dynamics, or similar)

Technical Skills

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Understanding of ERP system architecture, modules, and implementation processes
  • Familiarity with project management tools and methodologies
  • Strong database management and information organization skills
  • Ability to quickly learn and adapt to new software systems

Legal Knowledge

  • Working knowledge of contract law, corporate governance, and regulatory compliance
  • Ability to read and understand legal documents and identify key terms
  • Familiarity with corporate legal procedures and documentation requirements
  • Understanding of confidentiality and data protection requirements
