Programme Admin Support (Contract)
Work Location: Outram Park
Salary: Up to $2,600/month
Working Hours: Mon–Thu: 8.30am – 6.00pm, Fri: 8.30am – 5.30pm (Hybrid work arrangement)
About the Role
We're looking for a meticulous and organised Programme Admin Executive to support community health programmes under the Partnership and West Departments.
You'll play a key role in coordinating logistics, handling administrative tasks, and supporting the smooth running of national health initiatives like Functional Screening, IQuit, Mental Health programmes, and Healthy Ageing activities.
Key Responsibilities
Programme & Event Coordination
- Schedule sessions with community partners and vendors (e.g. Functional Screening, Rolling Good Times, Steady Lah, Happy Lah)
- Conduct site assessments and eligibility checks for venues and participants
- Manage programme listings on platforms like HealthHub, EventsGoWhere, OPMS
Administrative & Operational Support
- Track programme data, maintain attendance and billing records
- Support grant evaluation processes and audit coordination
- Assist in raising purchase orders and processing invoices
- Provide admin support for grant claims and disbursements
Inventory & Logistics
- Track inventory of event premiums, equipment (e.g. iPads, booths)
- Coordinate logistics for roadshows and outreach activities
- Liaise with vendors for deployment and collection of materials
Reporting & Documentation
- Prepare basic reports, update budget utilisation, and support audits
- Ensure proper documentation of RAMS, RACs, site layouts and CSAT results
- Maintain records of sessions, vendor deliverables and grant submissions
Stakeholder & Secretariat Support
- Liaise with internal teams, vendors, and government/community partners (e.g. AIC, PA, IMDA)
- Manage generic mailboxes and support meeting logistics and minutes
- Support special projects like GRC-related activities and onboarding new partners
What We're Looking For
- Min.
Diploma / GCE A-Level with 2 years of relevant experience - Strong coordination, admin, and time management skills
- Proficient in Microsoft Office (PowerPoint, Word, Outlook)
- Proficient in Microsoft Advanced Excel (Vlookup, Pivot Table)
- Comfortable with data entry, reports, and numbers
- Experience in scheduling, customer service, or invoice processing is a plus
- Team player, detail-oriented, and able to multi-task
