Background
We are representing our client to hire for a Programme Operations Coordinator to support healthcare initiatives, with a focus on managing the distribution of fitness wearables and coordinating vendor operations.
The role involves monitoring performance, ensuring accurate reporting, and supporting process improvements to enhance efficiency and customer experience.
You will also provide administrative and on-site support for health-related programmes and events.
Responsibilities
Core Operations (80%)
- Liaise with external vendors to oversee tracker distribution operations, logistics, stock inventory, and escalated customer care issues.
- Reconcile tracker issuance records, investigate discrepancies, and ensure 100% accuracy in documentation.
- Update monitoring statistics (e.g., issuance numbers, appointment datasets, utilisation rates) on a weekly or monthly basis.
- Ensure vendors submit documentation and reports in a timely manner (daily, weekly, or monthly).
- Monitor vendors' performance indicators and follow up on areas of non-compliance or underperformance.
- Assist with contract management tasks, including billing and budget tracking.
- Collaborate with stakeholders to develop, update, and refine SOPs and FAQs to improve operational efficiency and customer experience.
- Provide coordination and secretariat support for biweekly meetings with stakeholders.
- Conduct on-site operational audits and process checks when required.
General Administrative Support (20%)
- Perform general administrative tasks such as data entry, record keeping, and customer care operations.
- Provide ad-hoc support for on-site events (e.g., mass tracker distribution).
Requirements
- Diploma/Degree in Business Administration, Project Management, or related field.
- At least 1 year of relevant experience in programme/operations support, vendor management, or administrative functions.
- Entry Level applicants can be considered.
- Strong organisational skills with attention to detail and accuracy.
- Good communication and coordination skills to liaise with internal and external stakeholders.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and comfortable with data management.
- Able to multi-task, work independently, and meet deadlines in a fast-paced environment.
