Job Description – Programs and Operations Associate
Daughters Of Tomorrow Limited
Registered as a charity under the Charities Act of Singapore, Daughters Of Tomorrow complements and supports existing training and workforce-related agencies by connecting volunteers and community resources to enable each woman on an individual level.
By deep-diving into the practical day-to-day constraints of these women, we offer hand-holding and individual coaching to help each woman reach regular and sustained employment.
Our clients are women aged 18 to 63 from low-income families (living on less than $1500 per capita per month), mostly living in government-subsidized rental flats, and facing multiple stressors in their families.
Through sustained employment, women in our employment bridging program regain confidence in themselves and gain a social support network that helps them through their difficult times.
Programs and Operations Associate – One Year Contract (Renewable)
About the Role
The Programs and Operations Associate supports the planning, coordination, and execution of DOT's pre-employment preparation programs, workshops, and services for women from low-income communities.
This role combines program operations, case management, and administrative responsibilities to ensure smooth program delivery, participant engagement, and accurate data management.
Responsibilities
A) Programs and Operations Execution
● Call, orientate and recruit women referred to DOT for all pre-employment preparation programs, services and workshops.
● Conduct intake assessment and basic triage according to SOP.
● Coordinate programs and liaise with stakeholders including women, community partners, volunteer childminders and volunteer trainers in a timely and responsible manner to ensure proper attendance and execution of program.
● Responsible for ensuring healthy program registration numbers.
● Prepare all program materials including soft and hard copy training materials, AV, decorations, F&B etc according to SOP.
● Coordinate for any transportation support for heavy materials to be sent to program venue.
● Ensure that all program information is disseminated to participants, volunteers and GOH according to SOP.
● Be physically present at programs islandwide to set up AV equipment, presentation slides, seating arrangements, decorations and F&B during graduation, orientate all participants and volunteers, ensure children safety, record all attendance and observe program (programs are typically on weekday evenings and weekends).
● Communicate and build rapport with all stakeholders in a professional and timely manner.
● Maintain program group chats on Whatsapp using company line and share EDMs on upcoming programs and events.
● Flexible to step in as a childminder during program execution where necessary.
● Support any major DOT annual events including IWD, Mother's Day, DOT Gala, Employer Awards, Golf Fundraiser.
B) Case Management
● Conduct intake assessments and provide structured case management for women referred to DOT, ensuring alignment with qualifying criteria and DOT's SOP.
● Develop and monitor individual action plans with women to support their journey toward employment and family stability.
● Coordinate referrals and liaise with social service agencies, employers, and community partners to provide holistic support.
● Maintain timely and professional case notes, ensuring information is updated in DOT's system for continuity of care.
● Work collaboratively with the Employment Bridging and Programs teams to identify barriers, track progress, and ensure women are supported in achieving sustained employment.
● Escalate complex cases to senior staff or relevant social service partners when higher-level intervention is required.
C) Administration
● Responding to and triaging email enquiries to relevant departments.
● Ensuring that all data entry is keyed in a timely and accurate manner after the completion of each session.
● Prepare basic reporting numbers for program attendance.
● Collect relevant data using standard forms, and update personal data in system and relevant documentation where necessary.
● Input relevant observations in system to maintain clear communications with Employment Bridging team.
● Communicate directly with social workers and referral partners via email on any updates for their clients as required by Programs and Operations Manager.
● Disseminate and collect survey data for programs where required.
● Edit digital flyers using Canva to reflect updated program information.
● Ensuring that all data and information are kept confidential according to PDPA regulations.
Qualifications
● Diploma Holder (Social Work, Human Services, Psychology, or related field preferred for case management track).
● Minimum 2-3 years in customer service, events/program management, or social work/case management.
● Singaporean .
Preferred Skills and Competencies
● For program track: event coordination, stakeholder engagement, AV setup, Canva design.
● For case management track: interviewing, counselling, assessment, inter-agency collaboration, strong report writing.
● Proficient in Microsoft Excel, Word, PowerPoint.
● Good spoken and written communication skills.
● Strong affinity for people interaction; ability to manage minor conflicts.
● Ability to handle unforeseen situations such as last-minute cancellations, special requests, AV hiccups etc.
● Punctual and reliable with flexible work arrangements.
● Self-motivated with the ability to work independently and proactively in a team.
● Highly organised, with strong attention to detail, and able to coordinate across internal stakeholders including sponsors, partners and participants.
● Ability to thrive in uncertainty, and build processes as we grow as an organisation.
● Ability to prioritise and manage multiple program deadlines.
● Desire to learn and adapt to new technologies.
