We are seeking a detail-oriented and proactive Project Admin Executive to support our operations and service teams.
You will play a key role in ensuring the smooth coordination of project activities, handling administrative tasks, and facilitating communication across internal and external stakeholders.
Key Responsibilities
Provide administrative support to the operations and service teams
Coordinate with sales teams to gather required service information
Generate material purchase requisitions and track deliveries
Liaise with suppliers, vendors, and contractors on service-related matters
Monitor inventory levels and assist in spare parts withdrawal for service jobs
Track service reports and follow up on outstanding documentation
Prepare invoices and maintenance reports for submission to clients
Support internal audits, stock takes, and project documentation for BCA submission
Maintain proper filing and project documentation in line with company policies
Handle customer and supplier communications via phone and email
Support ad-hoc tasks as assigned by management
Requirements
Minimum 5 years of experience in administrative/project coordination roles
Proficient in Microsoft Excel, Word, and Microsoft Dynamics Navision
Strong organizational and communication skills
Meticulous, with the ability to handle high volumes of documents and data
