Role Overview
The Project Executive (1 year contract available) plays a key supporting role within the Project Management Team, ensuring seamless project delivery from initiation to completion.
This position bridges communication between clients, internal teams (Studio and Production), and external vendors, while maintaining clear documentation and progress tracking.
The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, collaborative environment.
Key Responsibilities
Project Coordination & Delivery
- Support the end-to-end delivery of assigned projects across digital, print, and multimedia campaigns.
- Track project milestones, timelines, and deliverables to ensure timely execution.
- Liaise with internal teams (Studio, Production, Strategy, etc.) to manage task flow and resource allocation.
- Assist in preparing and maintaining project schedules, status reports, and workback plans.
Client & Vendor Communication
- Act as a secondary point of contact for clients under the guidance of the Senior Account Manager.
- Coordinate with external vendors and partners to ensure deliverables align with project scope and quality standards.
- Document client feedback, revisions, and approvals accurately.
Documentation & Administration
- Maintain up-to-date project documentation including briefs, timelines, status sheets, and cost trackers.
- Prepare meeting agendas, recaps, and action item lists.
- Support the team with invoicing, procurement, and administrative follow-ups.
Quality & Process
- Ensure all deliverables meet quality and brand standards before submission.
- Contribute to the continuous improvement of internal project management processes.
Daily Expectations
- Track ongoing project statuses and update documentation regularly.
- Coordinate task assignments and deadlines between Studio and Production teams.
- Follow up on pending items with clients, vendors, and internal stakeholders.
- Support Senior Account Managers in managing client expectations and project logistics.
Qualifications & Skills
- Diploma or Degree in Marketing, Communications, Business, or related field.
- 1–2 years of experience in project coordination, account servicing, or marketing agency environment preferred.
- Excellent communication and organizational skills.
- Proficiency in Microsoft Office and project management tools (e.g., , Asana, or Trello).
- Strong attention to detail and multitasking abilities.
- Team player with a proactive and positive attitude.
