We are seeking a detail-oriented and proactive individual to join our Purchasing Department as a Purchasing Administrator.
In this role, you will play a vital part in supporting the procurement process, maintaining vendor relationships, and ensuring smooth and efficient operations.

Key Responsibilities:
- Assist in managing and monitoring supplier accounts and resolving any related inquiries.
- Maintain accurate and organized procurement records, documentation, and filing systems.
- Process and follow up on purchase orders (PO) to ensure timely and efficient delivery.
- Coordinate with vendors and internal teams to ensure the availability of required materials and services.
- Liaise with the sales and operations teams to manage incoming stock and ensure inventory needs are met.
- Support the sourcing and selection of new suppliers when required, ensuring they align with company requirements.
- Prepare and maintain purchase orders, vendor contracts, and related documentation.
- Process invoices and assist in the tracking of credit notes and statements.
- Monitor inventory levels and help track orders and deliveries to prevent shortages or delays.
- Ensure compliance with company policies and procurement procedures.
- Assist with the preparation of reports related to purchasing and procurement activities.
- Provide administrative support for the purchasing department, including filing, document retrieval, and maintaining supplier records.
- Handle ad-hoc administrative duties and assist with other projects as required.
What We're Looking For:
- A Diploma in Administration, Procurement, Logistics, or a related field.
- At least 1 year of relevant experience in an administrative or purchasing role.
- Strong organizational skills with a keen attention to detail.
- Ability to work independently with minimal supervision while managing multiple tasks.
- Proactive and able to take initiative in day-to-day operations.
- Bilingual in English and Chinese, with effective communication skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Positive attitude and strong interpersonal skills to effectively interact with vendors and internal teams.
