Job Description
The key responsibilities of a Raffles Service Executive – Groups & Reservations are the coordination and management of all rooms and logistics requirements for all Corporate, Leisure and VIP group bookings.
Primary Responsibilities
Manages Group Operations
- The key responsibilities the coordination and management of all rooms and logistics requirements for all Corporate, Leisure and VIP group bookings.
- Ensures that the rooms are blocked as per contracted for all Corporate, Leisure, Government Delegations and High-Profile Group event bookings
- Point of contact for external event organizer to manage and execute all logistics requirements prior to arrival
- Facilitates daily communication between Sales, Revenue, Food and Beverage, Banquet Operations and Front Office colleagues regarding inventory and room assignment requirements
- Follow up closely on sales leads and enquiries so as to prevent any hogging of rooms
- To support room revenue strategies by ensuring the accuracy and integrity of group blocks in system
- To ensure all dining reservations associated to the Group is made.
- To ensure all preferences for the group are captured accurately, in particular – arrival and departure times, dietary preferences, flight details and group itinerary.
- To ensure billing instructions are updated according to the contract from Sales and to ensure clear communication on any changes.
- To explore potential avenues for seamless Group bookings system
- To support Revenue in Rooms and Food and Beverage daily reporting and promotional campaigns
- Performs any other duties and responsibilities that may be assigned.
Manages Reservations Operations
- Support daily reservations operations, including handling consortia and Special Account bookings when required.
- Ensure all reservation details are accurately updated in Opera, maintaining consistency with hotel standards.
- Assist in optimizing room utilization and rate management through accurate reservation handling.
Qualifications
Candidate Profile
Knowledge and Experience
- Knowledge of Opera and CRS, and GDS is an asset
- Strong knowledge of Microsoft Office (Excel, PowerPoint, Words) is required
- Project and Event management skills
