Secretary, Digital & Analytics

We are currently based at Metropolis, Buona Vista, Singapore.

Job Summary

The Digital & Analytics department secretary provides administrative support to the Head of Department (HoD) and section leads, focusing on two main areas.

First, they handle secretarial and administrative tasks such as managing the HoD’s calendar, assisting with new member onboarding, purchasing goods and software licences, and coordinating department events.

Second, they are responsible for internal marketing and public relations, promoting the department’s image and achievements within the organisation.

Job Responsibilities

  • Secretarial and administrative support to ensure smooth department operations and foster a collaborative work environment.

  • Schedule and calendar management – manage HoD and section leads’ schedules, including calendar management, appointment arrangements, and meeting room reservations.

  • New hire mobilisation support – coordinate paperwork and documentation for visa, ticketing, and accommodation with the travel admin team.

  • Expense claims assistance – assist HoD and section leads with expense claims using internal systems.

  • Purchasing management – manage purchasing of goods and software licences for department use.

  • Team event coordination – plan and execute team events, including communication, attendance confirmation, reservations, logistical arrangements, and expense claims.

  • Internal marketing event organisation – organise internal marketing events such as Digital Townhall and product sharing sessions, handling announcements, Teams event set‑up, and on‑the‑day operational support.

  • Internal marketing communication management – manage internal marketing communication as Public Relations, including sending communication emails, configuring Netpresenter, updating the SharePoint‑based intranet site, and coordinating with Public Relations in other entities.

  • Additional duties – perform other duties as assigned from time to time.
