Job Summary
We are seeking a proactive and experienced Senior Document Controller to lead the implementation and oversight of project documentation systems and processes across multiple construction projects.
This role is responsible for ensuring best practices in document governance, maintaining compliance with statutory and contractual requirements, and driving continuous improvement in documentation workflows.
The Senior Document Controller will work closely with project teams, consultants, and subcontractors to align documentation standards with project objectives, while also supporting site operations including supply documentation, subcontractor payments, and EHS compliance.
Key Responsibilities
Document Control & Governance
Administer and maintain construction documentation, ensuring accuracy, version control, traceability, and timely distribution.
Manage document control systems and workflows, integrating with digital platforms (e.g., EDMS, CDE, BIM) and ensuring compliance with industry standards.
Generate reporting dashboards and performance metrics to provide visibility and oversight to project leadership.
Project & Stakeholder Support
Support the preparation, review, and issuance of construction works contracts and related documentation.
Liaise with project, commercial, and site teams to ensure documentation aligns with project milestones, change management, and handover requirements.
Communicate proactively with stakeholders to manage expectations and ensure timely delivery of documentation.
Operational & Compliance Oversight
Track and manage site-related documentation including supplies, materials, and subcontractor claims.
Assist in payment administration for subcontractors in line with project progress and contractual terms.
Maintain EHS documentation and support site teams during audits and inspections.
Ensure adherence to company policies, practices, and regulatory requirements.
Continuous Improvement & Support
Promote the adoption of new technologies and digital tools to enhance document control efficiency and collaboration.
Provide guidance and training to junior document controllers and project staff on systems usage and documentation standards.
Qualifications & Attributes
Diploma or Degree in Construction Management, Engineering, Business Administration, or a related field preferred.
Proven experience in document control or financial administration within the construction industry.
Strong understanding of construction processes, documentation standards, and regulatory requirements.
Proficiency with document management systems (e.g., Aconex, Procore, Autodesk Construction Cloud, EIDA).
Excellent communication skills with the ability to engage across all levels of the organization.
Strong organizational and technical skills to support internal and external communications.
