This incumbent is part of Nanyang Business School Corporate Services - Academic Support Unit that is dedicated to assisting faculty with research and teaching-related administrative tasks.
The team aims to excel operationally by establishing a service centre focused on customer satisfaction and faculty support.
This role will function as the primary contact for faculty regarding all administrative aspects of research and teaching activities.
Job Responsibilities
Academic Matters
- Work closely with program offices and faculty on teaching schedules.
- Assist in the dissemination of course materials and information on the learning management systems/platforms.
- Preparation of course packs.
- Scheduling of student consultations.
- Support activities related to assessments (e.g., quizzes) and examination invigilation.
- Support in the submission of course outlines to NTU's central platform.
Division Administration
- Provide assistance to Head of Division (e.g., scheduling of meetings, calendaring, etc.)
- Support PDPA and accreditation activities
- Assist with purchases in accordance with NTU procurement policies and guidelines.
- Assist in budget planning for faculty-related expenses.
- Proper filing and accounting of revenue and expenditure for periodic financial reporting.
- Assist in the organisation of events such as seminars, workshops, and retreats, including logistical arrangements, budget monitoring, and smooth on-site execution.
- Provide support to divisions' research centres.
Faculty Matters
- Manage the logistics of visits by potential candidates for faculty recruitment.
- Support activities related to faculty reappointments, promotion and tenure.
- Provide support to faculty during faculty performance review exercise.
School/University Administration
Job Requirements
- Minimally a Diploma in Business Administration, or related field.
Degree in Business Administration, or related field, is preferred.
- Minimum 5 years of working experience in an administrative role.
- Relevant working experience in education sector will be advantageous.
- Strong proficiency in MS Office suite, and online productivity tools.
- Articulate with excellent verbal and written communication skills.
- Able to work individually and collaborate with others as a team
- Strong planning, organisational and problem-solving skills
- Independent and possess strong multi-tasking abilities
- Meticulous and attentive to details
