Key Responsibilities
Oversee the operations of the venue/business space.
Coordinate and support event operations, including logistics.
Manage leasing, tenancy and event management, including fee management and rates review.
Conduct viewings, inspections, and market research.
Handle lease and event related matters such as documentation, renewals, terminations, billings, payments, arrears and ensuring compliance.
Ensure smooth event execution, from setup, on-site management, to post-event follow-up.
Coordinate with clients on event booking, inquiries, logistics (catering, manpower, audio‐visual equipment, event setup).
Collaborate with marketing and facilities departments to support leasing and event objectives.
Strategize success of business space and venue to stimulate income generation and efficiency.
Manage bookings and administrative work.
Deal with unforeseen event issues and handle complaints.
Cultivate and maintain good rapport with tenants and event clients, providing ongoing support.
Act as Duty Manager for events, working after office hours, weekends or public holidays.
Prepare event reporting, booking rates review, market research, and lease/event management reports.
Support facilities/operations and assist in facilities management as required.
Perform other ad hoc duties as assigned.
Administrative and Operation Duties
Maintain accurate records of leases, events and operations, feedback, and other relevant metrics.
Prepare reports and analysis on outcomes and office operations.
File and maintain relevant documentation.
Liaise with vendors on procurement related tasks.
Support vendor creation processes to ensure fast and smooth service to all vendors.
Utilize data to make recommendations for improving effectiveness and operational efficiency.
Requirements
Bachelor’s degree or diploma in Marketing, Estate Management, Facilities Management, Business Administration, Event Management, Communications, or related fields.
5 to 7 years of relevant experience with exposure to building operations and end‐to‐end event management.
Proven track record in building operations and end‐to‐end event management, including planning, coordination, execution and driving participation.
Excellent interpersonal, communication, stakeholder engagement and management skills.
Ability to work independently and collaboratively in a fast‐paced environment.
Strong time‐management, organizational and problem‐solving skills.
Excellent verbal and written communication skills with good command of English.
Strong analytical and presentation skills.
Team player with high initiative and ability to work independently.
Proficient in office software applications including MS Office, Excel and PowerPoint.
Analytical, meticulous, and able to handle sensitive information with confidentiality and professionalism.
