Shipping Executive / Shipping Assistant (Import & Export Documentation)
Job Responsibilities:
Handle full set of import/export shipping documents, including:
Bill of Lading / Air Waybill
- Commercial Invoice & Packing List
- Certificate of Origin
- LC (Letter of Credit) documentation (if applicable)
- Customs declaration and permit applications via TradeNet
Liaise with key parties:
Freight forwarders, shipping lines, and courier services
- Internal departments: sales, purchasing, warehouse, logistics
- Government agencies (e.g., Singapore Customs, SFA, N Park, Enterprise Singapore)
Coordinate and monitor shipments:
Ensure timely collection, delivery, and clearance of cargo
- Track shipments and update relevant reports
Ensure compliance:
Adhere to Singapore Customs regulations and documentation standards
- Maintain accurate records for audits and internal tracking
Support in logistics operations:
Prepare reports on shipment status
- Help with inventory updates related to imports/exports
- Support Trade administration
o Prepare purchase/sales quotation and purchase/sales orders into ERP
Job Requirements:
Education:
- Minimum: GCE 'O'/'A' Levels, Diploma in Logistics, Supply Chain, or Business Administration
- Preferred: Diploma/Degree in Logistics/Supply Chain/International Trade
Experience:
- 2–3 years of experience in shipping, freight forwarding, or import/export documentation
Skills:
- Familiar with TradeNet, Singapore Customs procedures, and FTAs (Free Trade Agreements)
- Proficient in MS Office (Word, Excel, Outlook)
- Knowledge of Incoterms 2020 and LC documentation preferred
- Good communication and coordination skills
- Attention to detail and ability to work under pressure
Languages:
- Proficient in English & Mandarin (written & spoken) to effectively communicate with Mandarin-speaking clients.
