Role
The Student Services and Reception Executive is the first point of contact for parents, visitors, and prospective families.

This role is responsible for delivering professional, welcoming experience at the school’s reception, managing phone calls and emails, and supporting the Admissions team with inquiries and walk-in visits.

The position requires excellent communication skills, a customer-service mindset, and the ability to manage multiple tasks in a fast-paced environment.


Job Responsibilities
Reception & Customer Service: Greet and assist visitors, parents, and students in a professional and friendly manner.


Reception & Customer Service: Attend to phone inquiries and respond promptly to emails.


Reception & Customer Service: Manage the reception area to ensure it remains welcoming, tidy, and presentable.


Reception & Customer Service: Handle incoming and outgoing mail, deliveries, and courier services.


Admissions Support
Provide initial information to prospective families and direct detailed queries to the Admissions team.


Assist with scheduling and making reminder calls for school tours, appointments, and meetings.


Record and track inquiries (phone, email, walk-ins) accurately in the admissions system.


Support admissions events such as open houses, orientations, and parent information sessions when required.


Academic Team Support
Assist academic staff with student attendance monitoring by making follow-up calls to parents when students are absent to ensure continuity of care and maintain home-school communication.


Support the coordination of parent-teacher conferences and academic meetings by managing scheduling systems and sending reminder communications to families.


Provide administrative assistance to academic departments including document preparation, photocopying of educational materials, and maintaining classroom supply inventory.


Facilitate communication between academic staff and families by relaying messages, coordinating appointment requests, and ensuring timely information flow.


Administrative Support
Maintain visitor logs, appointment calendars, and security procedures for guest entry.


Provide general administrative support, including data entry, filing, and document preparation.


Coordinate with other departments to support day-to-day school operations.


Assist with event logistics and coordination for school functions, including setup support for open houses, workshops, parent information sessions, and school celebrations.


Provide backup administrative support during peak periods, school events, and staff absences to ensure continuous operational efficiency.


Manage office supplies inventory and coordinate with vendors for reception area needs and general administrative materials.


Ensure compliance with PDPA and confidentiality standards when handling personal information.


Requirements
Diploma or GCE A-Level qualification; additional certification in administration or customer service is a plus.


Prior experience in reception, front desk, or customer service roles (experience in schools or education sector preferred).


Proficient in Microsoft Office (Word, Excel, Outlook); experience with CRM or school management systems an advantage.


Strong command of written and spoken English; additional languages are a plus.


Professional appearance and demeanour with excellent interpersonal skills.


Adaptable to a fast-paced international school environment.
