Job Description
Processing
- Process Repair Jobs (RJs) and Delivery Orders (DOs) through the system to generate Work Orders.
- Ensure invoices are processed and matched against the corresponding RJs/DOs.
- Verify that electronic invoices from lift contractors, LSS, and EBOPS are accurately submitted and aligned with system records.
Follow-up & Coordination
- Follow up with Property Managers or Project Officers on outstanding RJs/DOs/Job Sheets not yet linked to Work Orders.
- Manage email correspondence, including reminders to lift contractors for outstanding invoices or documents.
- Follow up with vendors to obtain letters for quarterly submissions, ensuring no outstanding RJs/DOs or invoices remain.
Record Keeping
- Maintain accurate records of job sheets, Work Orders, invoice references, expenditures, and any other data required by the Town Council.
- Update Gofix with lift parts replacement records and Work Order numbers.
- Assist the Town Council in updating the Cyclical Maintenance Management System (CMMS).
General Support
- Provide assistance to the Manager, Engineer, and Team Leader on ad-hoc projects and other assigned tasks.
- Assist in preparing documents, and meeting materials as required.
