Executive Officer / Assistant Manager – Tengah Business Operations (12-Month Contract)


Location: Kallang Sector, Singapore
Working Hours: 8:30 AM – 6:00 PM, Monday to Friday
Salary: S$3,500 – S$4,500
Duration: 12 months (extendable/convertible)

About the Role:
Join a leading utilities group as an Executive Officer / Assistant Manager supporting business operations in Tengah.

You will oversee core operational processes, manage data and reporting, coordinate projects, and drive process improvements to ensure efficiency and compliance.

Key Responsibilities:

Core Operations

  • Issue and validate Purchase Orders (PO), Work Orders (WO), and Contract Confirmations (CC) for construction and installation works
  • Maintain resident database, including onboarding, sign-ups, and cancellations
  • Process contractor invoices and manage timely payments
  • Oversee invoicing and collections from residents

Reporting & Analysis

  • Prepare management reports and dashboards to monitor operational performance
  • Analyze data trends to identify improvements and support strategic planning

Administrative & Project Support

  • Assist management with project coordination and administrative tasks
  • Collaborate with internal and cross-functional teams to ensure timely execution of deliverables

Governance & Process Improvement

  • Lead billing process transition to reduce manual work and optimize manpower
  • Develop and enhance SOPs and Business Continuity Plans (BCPs)
  • Establish governance frameworks to ensure policy compliance and smooth transition to Business-As-Usual (BAU) operations
  • Ensure regulatory and operational compliance while driving continuous improvement initiatives

Requirements:

  • 3–5 years of experience in administration, backend operations, or process improvement
  • Proven experience defining, mapping, and maintaining process frameworks
  • Advanced Microsoft Office skills, particularly Excel (pivot tables, formulas, dashboards) and Power BI
  • Experience with Salesforce for resident/customer relationship management
  • Familiarity with ServiceNow for workflow automation, ticketing, or service management
  • Strong data analysis and visualization skills
  • Highly organized, meticulous, and detail-oriented
  • Analytical, proactive, and resourceful, able to work independently and collaboratively
  • Excellent communication and interpersonal skills
  • High integrity and commitment to governance and compliance
